Salary Information: $3,098.55 to $4,182.97 per month (Operational Services, Phase 4).  The starting salary will be commensurate with education and experience.

Primary Purpose: To provide clerical and administrative support within Information and Communications Technology (ICT).  

Nature of Work: This position reports to the Manager, Finance and Administration with day to day supervision done by a senior member of the Finance and Administration team. The work is of a moderate complexity with meticulous attention to accuracy, details and organization.  The responsibilities of this position require the ability to work independently, with minimal supervision and as part of a team (working effectively and cooperatively with others); guidance will be provided in determining priorities and appropriate action for more complex issues and decisions. The incumbent must have the ability to communicate clearly and professionally with a broad range of individuals and organizations. Works in an environment where there is continuous change, shifting priorities and frequent interruptions.

Typical Duties This position provides support for management and staff within ICT which includes providing administrative support to the Directors within ICT including but not limited to maintaining their calendars; providing financial and administrative support for the Campus Print Accounting System (CPAS), preparing periodic financial reports and processing financial transactions; attending meetings and taking minutes; reconciling financial transactions; invoicing for ICT services; answering calls to the University Switchboard and working with university departments/units to ensure that we are providing current and accurate information; managing petty cash fund; preparing cheque requisitions, purchase requisitions, cash reports, and journal vouchers; reconciling PCard transactions; administering e-mail distribution lists; scheduling meetings and arranging for rooms, equipment; answering phone and in-person inquiries; and other related duties as assigned.

Education: Completion of grade 12 and a one year post-secondary business program.    

Experience: Two to five years of office experience, preferably in a University setting; experience scheduling meetings using an electronic calendar system; experience taking and transcribing minutes. Experience with UniFi, PAWS, MS Office would be definite assets.   

Skills: Proficiency in all aspects of clerical work; excellent interpersonal and communications skills, both written and oral; demonstrated analytical and decision making abilities in order to provide excellent customer service; demonstrated effective organizational and time management skills; demonstrated ability to handle a high volume of work in an environment of multiple competing priorities; ability to effectively handle stressful and emergency situations, maintaining composure and professionalism; demonstrated ability to deal with conflict, stress and inter-office dynamics in an effective manner; a high degree of accuracy and attention to detail; ability to work with minimal supervision and as part of a team; demonstrated self-motivation to learn new skills and tasks quickly; proficient with Microsoft Office software (Word, Excel). Knowledge of the University’s administrative and financial policies and procedures would be considered an asset.
