Salary Information: The salary range is $44,873 to $70,115 per annum (Managerial, Phase 1). The starting salary will be commensurate with education and experience.
Primary Purpose: The Administrative Supervisor supervises and manages the administrative function within University Advancement (UA), leads Managerial Support team members and, through collaboration with the leadership group and Vice-President’s office, provides leadership and support to Clerical Team Leads to enable and ensure effective, efficient administrative operation and support for the central UA office programs and services. The Administrative Supervisor also coordinates and manages the administrative needs University of Saskatchewan Alumni Association.
Nature of Work: The Administrative Supervisor leads, and is a member of University Advancement’s administrative team, reports to the Executive Assistant and Office Manager, Office of the UAVP and works with the Executive Director for U of S Alumni Association support. This position is responsible for synchronizing administrative support for UA’s programs and services and discerns the work priorities of the administrative function with little supervision. The position is highly collaborative, working closely with UA’s leadership, the VP office, Managerial Support team members and the Clerical team leads to coordinate the administrative function at UA’s central office at Innovation Place.
The Administrative Supervisor is responsible for effective communication, liaison between the administrative teams and business functions, ensuring positive relations and outcomes in support of University Advancement and university priorities. The position contributes to the university’s strategic directions by maintaining an understanding of the university’s priorities and ensuring administrative work is planned and executed in alignment with University Advancement’s and institutional objectives and strategic directions. Establishing and maintaining professional relationships that support exceptional collaboration and problem solving is essential for success in this position.
As the senior administrative contact for the Innovation Place office, the Administrative Supervisor performs the triage required to deal with, or refer a broad spectrum of issues across all levels of the university as appropriate; The Administrative Supervisor assesses risks and handles or assigns to others as appropriate or refers matters to the Executive Assistant and Office Manager, Office of the VP, University Advancement on business leadership within UA. The Administrative Supervisor acts as a problem solving resource to other administrative staff and is responsible for the recruitment, retention, performance management, evaluation and leadership of the Managerial Support team and Clerical Team Leads for the other administrative teams within University Advancement.
Accountabilities:
- Effectively represents University Advancement and the University of Saskatchewan in all contacts, ensuring the right tone, interest and messaging are projected, dealing with issues and concerns, solving or appropriately referring problems related to office functioning as they arise maintaining appropriate confidentiality of information and materials.
- Leads, plans, coordinates and manages the work of the administrative function.
- Coordinates and manages administrative support for the University of Saskatchewan Alumni Association, ensuring compliance with the regulatory requirements for the Association’s not-for-profit status.
- Provides confidential administrative support to the Human Resources function and activities within University Advancement as required.
- Undertakes and/or manages special projects and other duties as assigned.
Qualifications
Education: A relevant undergraduate degree is preferred. A combination
of education and significant work experience may be considered. Evidence of on-going professional development
would be considered an asset.
Experience: Three to five years progressive work experience in a senior administrative role with progressively responsible administrative and a minimum of two year’s supervisor functions is required. The demonstrated ability to support senior level administrators and to work effectively and discreetly with confidential and sensitive information is essential.
Skills: Highly proactive, with a strong orientation towards customer service and demonstrated effective verbal, written and interpersonal communication skills; exceptional work ethic and integrity; maturity including tact, diplomacy and professionalism in dealing with a broad customer demographic; detail-oriented with a demonstrated ability to organize work, set priorities and work under pressure; ability to work independently with minimal supervision and collaboratively as a team leader and mentor; decisiveness to inspire confidence and the ability to build consensus among team members; the ability to anticipate needs, and discern work priorities; proficiency using the latest versions of Microsoft Office Suite.
